Refund Policy

This policy explains when and how refunds are issued for Crownwell Consultants' study abroad and visa consulting services.

This Refund Policy applies to services provided by Crownwell Consultants (“Crownwell,” “we,” “us,” or “our”) and should be read alongside our Terms of Service. It sets out when you may be entitled to a refund of fees paid to us for study abroad and visa consulting services.

1. Overview

Our consulting fees cover the time, expertise, and effort our team invests in guiding your application — from university shortlisting through to visa filing. Because this work begins as soon as we engage with your case, most fees become non-refundable once services have started, except in the circumstances described below.

2. Consultation Fees

Fees paid for an initial consultation or assessment session are non-refundable once the session has taken place, as they cover the consultant's time and the personalized advice provided during that session. If you need to reschedule, contact us at least 24 hours in advance and we'll do our best to find a new time at no extra cost.

3. Service Fees

For full application and visa support packages, fees are typically tied to the stage of work completed:

  • If you cancel before we begin working on your file (e.g. before university shortlisting starts), you may be eligible for a refund minus any administrative or processing costs already incurred.
  • If you cancel after work has begun — such as document review, application submission, or visa filing — fees for the stages already completed are non-refundable.
  • Any third-party costs already paid on your behalf (university application fees, visa fees, courier charges, test registration fees) are non-refundable once submitted, as these are paid directly to external institutions.

4. When Refunds Apply

You may be eligible for a full or partial refund if:

  • Crownwell is unable to provide the agreed service due to circumstances within our control
  • You cancel in writing before any work on your file has begun
  • We made an error that directly prevented your application from being submitted

Refund eligibility and amounts are assessed case by case against the work already completed and any costs already incurred on your behalf.

5. What's Non-Refundable

  • Consultation fees for sessions already conducted
  • Fees for work stages already completed (document preparation, application submission, visa filing)
  • Third-party fees already paid to universities, embassies, testing bodies, or couriers
  • Fees where a delay was caused by your failure to provide required documents or information on time

6. Visa Refusals & University Rejections

Our consulting fees cover the guidance and preparation we provide — not the outcome of your application. As explained in our Terms of Service, admission and visa decisions are made solely by universities and immigration authorities and are outside our control. A visa refusal or university rejection, on its own, does not entitle you to a refund of consulting fees for work already performed, unless the refusal resulted directly from a documented error on our part.

7. How to Request a Refund

To request a refund, email us with:

  • Your full name and application reference number
  • The service or payment you're requesting a refund for
  • The reason for your request

Send your request to accounts@crownwellconsultants.com. We'll review your case and respond with a decision within 5 business days.

8. Processing Time

Approved refunds are processed within 10–14 business days and returned via the original payment method wherever possible. Bank processing times may add a few additional days before funds appear in your account.

9. Changes to This Policy

We may update this Refund Policy from time to time. Any changes will be posted on this page with a revised “Last updated” date and will apply to services engaged after that date.
